Publications are not edited on GitHub. They come from the MARC Publications Google Sheet, which the website reads every time it rebuilds. Ask a maintainer for edit access.

How the sheet is organised

  • One tab per project, named after the project file (see above). Papers that do not belong to a project go in a tab named Other.
  • One row per paper. A paper from several projects can be listed in each of their tabs; copy the row rather than retyping it, so the DOI and title stay identical.

Columns

ColumnLinking key?What to enter
Paper TitleYes, when there is no DOIThe full title. Rows without a title are skipped.
DOIYesThe DOI (for example 10.1109/ACCESS.2024.1234567) or, if there is none, a link to the paper.
AuthorsYesAll authors, exactly as in the paper. MARC members are found by their profile’s name and otherNames.
Journal/ConferenceNoJournal or Conference.
Journal/Conference NameNoThe venue, including the year where it has one, for example 2024 Moratuwa Engineering Research Conference (MERCon).
Review StatusNoPublished, Accepted or Under review.

Keep the column headings as they are: the website finds the columns by these names.

Linking papers to a project

A tab is matched to a project automatically when its name is the same as the project’s file name or title in marc_projects, ignoring upper and lower case, spaces and punctuation. For example, the NILM tab matches NILM.md, and a Demographic Analysis tab matches Demographic_Analysis.md.

If the names have to differ (one tab covering two projects, for example), a website maintainer adds the tab to projectPublicationTabs in src/data/site.ts in the website repository.

Changing safely: if a project file is renamed, rename its tab to match (or ask a maintainer to map it). If you rename a tab, check that it still matches its project’s file name or title.

Linking papers to people

A paper appears on a person’s profile when its Authors column contains their name or one of their otherNames as a whole name. Upper and lower case, full stops, spacing and titles such as Prof. or Dr. are ignored, so G.M.R.I. Godaliyadda and G. M. R. I. Godaliyadda count as the same form.

Keep the Authors column exactly as in the paper. When a member’s papers use a form the website doesn’t know yet (initials, surname first, a maiden name), the member adds it to otherNames in their profile:

otherNames:
  - "Ratnayake, A."
  - "R. M. A. Ratnayake"

See Other emails and names.

How the year is worked out

The Publications page groups papers by year. The year is taken from, in order:

  1. a year in the Journal/Conference Name column;
  2. the DOI record;
  3. a year in the link.

Papers marked Under review are listed in their own group, and papers whose year cannot be found are listed last.

When changes appear

The sheet is read when the website rebuilds. That happens every Monday at 00:00 Sri Lanka time, so new papers and corrections made during the week are live by Monday morning. The website also rebuilds whenever a change is merged into the website or one of the content repositories. To publish sheet changes straight away, a maintainer can run the Deploy to GitHub Pages workflow from the website repository’s Actions tab (Run workflow).

If a rebuild fails, the live site stays as it was. Check the run in the Actions tab: a renamed column heading is the usual cause.
